1. Services
1.1 Picnic Makers provides luxury picnic, tablescaping, movie night, and sleepover party experiences in Los Angeles, Malibu, Orange County, and surrounding areas.
1.2 While we always do our best to honor your preferences, our setups follow pre-designed styling packages. Our team makes final decisions regarding aesthetics to maintain consistent quality.
For fully custom events, our event planning services are available for an additional fee.
1.3 Picnics begin at the scheduled time chosen during booking. A 15-minute grace period is provided for minor delays. After that, waiting fees apply as follows:
- 16–30 minutes late: $20
- 31–60 minutes late: $40
- 61–90 minutes late: $60
- 91+ minutes late: $80
The event end time remains the same, even if you arrive late. Time lost cannot be extended unless extra time was pre-booked in advance. In some cases, additional time may be added during the event if our team’s schedule allows, but this is not guaranteed.
Please notify us as soon as possible if you expect to be delayed so we can adjust accordingly.
1.4 Do not leave your setup unattended for long periods. You are responsible for all items during your booking time.
1.5 If you require assistance with venue or permit arrangements, this can be handled through our event planning service for additional fees.
1.6 You may update your guest count up to 3 days (72 hours) before the event. After this period, reducing the number of guests will not lower the total cost, as all décor, rentals, and logistics are finalized. If you wish to add guests, we will do our best to accommodate the request depending on availability and inventory.
1.7 You may modify add-ons, décor, or food selections up to 24 hours before the event. After that, all selected items are final, since our team will have already purchased, packed, and prepared your setup.
Requests to remove or cancel items within 24 hours of the event cannot be refunded or deducted, as materials and labor are already committed. If you’d like to add new items, we’ll try our best to fulfill your request based on availability.
1.8 We reserve the right to refuse service to anyone.
1.9 Client must provide accurate address details and reasonable access to the setup location, including a clear pathway. Any paid parking, valet, entry fees, or required access arrangements are the client’s responsibility unless agreed in writing. If access conditions differ materially from what was provided (stairs, long carry distance, no elevator), additional fees may apply, or the setup may be adjusted.
2. Weather and Location
2.1 For safety reasons and to ensure a positive experience, we may advise a location change if there is rainy weather, strong winds, high tides, or beach hazards. If we advise against holding the picnic due to these conditions, we may reschedule for a later date.
2.2 If we advise of unfavorable conditions and the customer still wishes to proceed with the picnic, they accept all risks and liability for any damages or losses. We will not reschedule the picnic in such cases.
2.3 Picnic Makers reserves the right to cancel or reschedule the picnic experience at any time if we feel that the weather or beach hazards pose a threat to the safety of our clients and staff. In such cases, we will notify the client as soon as possible and work to reschedule the picnic experience for a later date that is convenient for both parties. Picnic Makers determines, in its sole discretion, if weather or location conditions are unsafe for setup or service.
2.4 In case of strong winds, please lower the umbrella latch and lay it flat until conditions improve.
2.5 For public locations (parks, beaches), we’ll always select the best available space; however, we can’t guarantee privacy or exclusivity, as public areas are beyond our control.
3. Payment
3.1 To secure your booking, a 50% non-refundable deposit is required. The remaining balance must be paid in full before the experience begins. For picnics, payment must be made before the scheduled start time. For indoor experiences, payment must be made before our team arrives for setup. If payment is not received, we may delay or refuse to set up. We accept payments via Stripe or PayPal (3% card processing fee), or Zelle (no fee).
3.2 All payments and deposits are non-refundable. Once submitted, payments cannot be reversed. Deposits may be applied toward a rescheduled date if permitted by policy.
3.3 A $100 refundable damage deposit is required for all sleepover parties and will be added to the final payment. The deposit is fully refunded within 24–48 hours after pickup if all items are returned in good condition. A damaged item is defined as one that is difficult to clean, permanently stained, marked, ripped, or otherwise unusable for future events. A detailed price list for replacement items is available upon request.
4. ID Requirements
As part of our standard procedures, we may require a valid form of identification to be presented on the day of the event to ensure that it corresponds to the details provided in the booking form. This is intended to enhance the safety and security of all attendees and to prevent any potential fraud or misrepresentation.
5. Rescheduling, Cancellation & Refund
5.1 Bookings secured with a deposit may be rescheduled once within 3 months, provided a 72-hour notice is given.
Bad weather includes conditions that pose safety risks or significantly impair the experience, such as heavy rain, thunderstorms, severe winds, unsafe heat, poor air quality, and beach hazards. Cloudy skies or mild conditions do not qualify. Picnic Makers makes the final call on weather eligibility for rescheduling.
5.2 One complimentary reschedule is allowed. Additional reschedules or those made with less than 72 hours’ notice will incur a $150 fee.
5.3 We do not offer refunds for cancellations or changes of mind. If weather prevents your event, we may offer a location change or a reschedule within 3 months, subject to availability.
5.4 All deposits are non-refundable under any circumstances.
5.5 For day-of coordination, please text us. For rescheduling and policy-related requests, an email or text is required so we have a written record.
6. Equipment
6.1 Do not sit, stand, or lean on tables or decor. Each item is sanitized before your event.
6.2 You are responsible for all items during your event time. Lost or damaged items may be invoiced after the event based on documented condition at pickup.
6.3 Do not light our candles. They are for display only.
6.4 Avoid moving tables or large décor items to prevent damage or safety issues.
6.5 Sleepover setups are rentals and decor services. An adult must be present and responsible for supervising children at all times. We do not provide childcare.
7. Damages Policy
Charges reflect replacement or repair costs. Normal wear is not billable. We may use photos taken at setup and pickup to document the condition.
8. Advertising
By participating in a Picnic Makers event, you grant us permission to use photos or videos taken during your setup for marketing purposes. If you prefer not to be photographed or recorded, please notify us in writing before your event. We will honor reasonable requests.
9. Alcohol
Picnic Makers is not held liable for any possession or consumption of alcohol or other substances during your event. What you provide is entirely at your discretion, and we are not responsible for any related consequences. Alcohol rules vary by location. Client is responsible for complying with posted rules and all local regulations.
10. Liability
10.1 Picnic Makers is not responsible for any injury, loss, or damage to persons or property during your event. You accept full responsibility for all risks associated with your booking.
10.2 You agree to indemnify and hold Picnic Makers harmless from any claims, damages, or liabilities arising from your event participation.
10.3 Picnic Makers is not responsible for failure to perform due to circumstances beyond our control, such as weather disasters, acts of nature, government restrictions, or emergencies. In such cases, we’ll make every effort to reschedule, but specific dates cannot be guaranteed. In cases of force majeure, refunds are not provided. We will offer rescheduling or credit where possible, subject to availability and these Terms.
11. Agreement
By making a deposit for your reservation, you acknowledge that you have read, understood, and agree to these Terms and Conditions.
12. Modifications
Updates apply to new bookings from the posted effective date. The latest version will always be available on our website.
