Outdoor Movie Night Rental Contract

1. Services

1.1 Picnic Makers provides outdoor movie night experiences in Los Angeles and surrounding areas. Each package includes setup with a high-quality projector, sound system, screen, seating, ambient lighting, and décor elements as specified in your selected package.

1.2 Packages are pre-styled to ensure consistent quality and functionality. We will consider client preferences within the limits of available equipment and design. Customization or add-ons may incur extra fees.

1.3 Equipment must be supervised at all times. The client is responsible for any loss, theft, or damage to the equipment during the rental period.

2. Weather and Location

2.1 Outdoor setups are weather-dependent. In case of rain, strong winds, or unsafe conditions, we may postpone, relocate, or convert your event to an indoor setup if available. Safety always takes priority.

2.2 If a client chooses to proceed despite our weather advisories, they assume full responsibility and liability for any resulting issues, including equipment damage or service interruption.

2.3 Picnic Makers reserves the right to cancel or reschedule an event if conditions pose a safety risk. We will notify clients promptly and arrange an alternative date at no extra cost.

3. Payment

3.1 A 50% non-refundable deposit is required to secure your booking. The remaining balance must be paid prior to setup. We accept Stripe or PayPal (3% transaction fee) and Zelle (no fee). Setup will not begin without full payment.

4. Rescheduling and Cancellation

4.1 Bookings may be rescheduled once within 3 months of the original date with at least 72 hours’ notice. Additional reschedules or short-notice changes are subject to a $150 fee.

4.2 Deposits and payments are non-refundable. In the event of weather-related changes, rescheduling will be offered based on availability.

5. Equipment Use

5.1 The projector, speakers, cables, and screen are for event use only. Please do not move or adjust equipment after setup. Damage, spills, or electrical misuse will result in repair or replacement fees.

6. Advertising and Media

6.1 Picnic Makers may capture setup photos or videos for promotional use. We will never feature guests without consent. Please inform us in advance if you prefer your event not to be photographed.

7. Liability

7.1 Picnic Makers is not liable for any injuries, losses, or damages that occur before, during, or after the event. Clients agree to assume all associated risks and to indemnify and hold Picnic Makers harmless from any claims arising from their event or use of equipment.

8. Force Majeure

8.1 Picnic Makers is not responsible for cancellations or delays caused by events beyond our control, including power outages, natural disasters, or technical failures. In such cases, clients may reschedule without penalty.
